Why Access Details Are Critical

Access information is the most practically consequential part of your Event Page. An attendee who cannot find the venue or cannot join the online session will miss the event — regardless of how good the content would have been. Incomplete access details generate the highest volume of preventable attendee queries and are the leading cause of avoidable no-shows.

Get this right before you publish.

For In-Person Events

Add the venue name and enough address detail for someone unfamiliar with the area to arrive confidently. If the venue is large or has multiple entrances, specify the exact entry point — "main entrance on Victoria Island Road, beside the car park" is more useful than just "Victoria Island."

Include any arrival guidance that will prevent confusion: floor or room number, parking notes, check-in point location, or any entry requirements attendees need to meet. Review your instructions from the perspective of a first-time attendee who has never been to this venue before.

For Online Events

Add the access instructions through taron's supported flow. For events where the access link is distributed post-registration, explain clearly when and how attendees will receive it — "access link sent 30 minutes before the event" removes a common source of last-minute anxiety.

If attendees need specific preparation — a particular app, a stable internet connection, headphones, or a camera — include that in the access section or the event description.

For Hybrid Events

Hybrid events need the most care. Provide both sets of instructions clearly, and keep them separate — do not mix venue directions with online access details in a single paragraph. Make it immediately clear to each type of attendee what they need to do, without having to read through instructions intended for the other group.

If you are using different ticket types for in-person and online attendees, confirm that each ticket type shows the correct access instructions for that group.

Updating Access Details After Publishing

Changes to access details after registration opens require direct communication to attendees. A venue change or updated access link is exactly the kind of information that causes people to miss events if they do not see the update. Update the Event Page promptly and use taron's messaging tools to reach registered attendees directly.
