Preparing Attendees for Faster Check-In

This guide explains how hosts can prepare attendees before event day to reduce delays, improve check-in speed, and create a better arrival experience.

Why Attendee Preparation Matters

Check-in speed is a shared responsibility. Hosts can set up the most efficient system in the world and still end up with slow queues if attendees arrive unprepared. A brief, clear communication to registered attendees before the event can dramatically reduce friction at the door.

What to Tell Attendees

Send a pre-event message — 24 to 48 hours before the event is ideal — that covers:

How to find their ticket — Tell them exactly where to look: in their taron account, under registrations or tickets. Some attendees have never accessed this section before and will appreciate the specific instruction.

To open it before arriving — Not in the queue, not while walking through the door — before they leave for the event. A ticket that's already open on a bright screen scans in under a second.

To screenshot it as backup — Particularly useful for venues with unreliable mobile signal. A QR code screenshot saved to the camera roll works offline without the app.

Any specific check-in instructions — If you have multiple entry points, if there are separate queues for different ticket types, or if there's anything else they need to know about how entry works, include it here.

Keep the Message Short

Attendees don't read long pre-event emails carefully. A short, numbered list of three to four specific instructions is more effective than a paragraph of general guidance. Lead with the most important action — open your ticket before you arrive — and keep everything else brief.

On the Day

A check-in staff member or sign near the entrance reminding attendees to have their ticket ready before scanning gives one last nudge to anyone who missed the pre-event communication.
